The ideal candidate will possess exceptional organizational skills, a keen eye for detail, and an understanding of accounting and HR processes.
The ideal candidate will provide administrative support to our accounting and HR departments, ensuring smooth operations and efficient workflows.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES Assist with various accounting tasks, including data entry, accounts payable and receivable, invoice processing, and expense tracking.
Support the HR department with various tasks and projects such as recruitment, onboarding, benefits administration, and employee record management.
Coordinate and schedule interviews, meetings, and training sessions, ensuring all necessary arrangements are made.
Prepare and distribute internal communications, such as company-wide announcements, memos, and reports.
Assist in maintaining office supplies, inventory management, and ordering as needed.
Handle general administrative tasks including filing, scanning to systems, photocopying, and managing incoming and outgoing correspondence.
Collaborate with cross-functional teams to facilitate smooth communication and coordination.
Answer main phone line and direct calls to appropriate person along with greet all visitors.
Create monthly PowerPoint presentations to recognize employee achievements, rewards, retirements, birthdays, anniversaries, announce newly hired team members, and other pertinent communications.
Collect and distribute all mail pieces.
Maintain, relate, and promote the positive culture of the organization.
Comply with federal, state, and company policies, procedures, and regulations.
EDUCATION/EXPERIENCE 2 years of experience as an executive assistant or relevant experience Associate degree or an equivalent combination of education and experience High attention to detail and strong organizational skills are essential Flexibility and adaptability to work in a fast-paced and changing environment Strong verbal and written communication skills, with the ability to interact effectively with all levels of staff members Proactive problem-solving skills, with the ability to prioritize tasks and meet deadlines Professional demeanor and excellent customer service abilities are required Should be able to work independently and in a team setting ERP experience required, PLEX preferred but not required Proficient knowledge of Microsoft Office (Word, Excel, Outlook, PPT) Excellent written and verbal communication skills ESSENTIAL FUNCTIONS AND WORK ENVIRONMENT Must be able to perform the essential functions of this position with or without reasonable accommodations This position may require the individual to sit and/or stand for extended periods of time; reach with hands and arms, and use fingers to handle/feel objects Frequent contact with others required e.
